Who we are
Brillersys LLC (“Brillersys”, “we”, “us”, “our”) is an engineering company with offices in Santa Clara, California; Coimbatore, India; and Tokyo, Japan. This policy covers two things:
- this website, brillersys.com; and
- Sentinel, our workplace health-and-safety mobile application.
They are set out separately, because the information involved is different and so is our role. For anything in this policy, write to privacy@brillersys.com.
The Brillersys website
What we collect
Only what you type into one of our three forms. Reading the site collects nothing.
- Contact form: your name, work email, company, what the enquiry is about, and your message.
- Careers form: your name, email, discipline, years of experience, links you choose to share, a link to your CV, and what you tell us about your work. The form takes no file uploads — the CV field is a link.
- Event booking form: your name, company, work email, which day suits you, which demo you want to see, and any note you add.
Each submission is emailed to us with two technical details attached: the page it was sent from, and the IP address it came from. The IP address is there so we can recognise abuse of the forms.
What we do not collect
This site runs no analytics, no advertising and no tracking cookies. It sets no cookies at all for ordinary visitors; WordPress sets one only when a member of our team signs in to the administration area. Fonts, images and video are served from our own server, so loading a page tells no third party that you visited. The links to Google Maps on the contact page are ordinary links — nothing loads from Google unless you click one.
How we use it, and where it goes
We use what you send to reply to you, to consider your application, or to book your slot at an event. Submissions are delivered to our own mailboxes (info@brillersys.com or careers@brillersys.com), which run on Microsoft 365. The website keeps no copy in its database.
The site is hosted on servers in the United States. Beyond our hosting provider and Microsoft, we share nothing from these forms with anyone, and we never sell it.
How long we keep it
Enquiries and booking requests stay in our mailboxes while they are useful to the conversation, and are deleted when they are not. Job applications are kept while we consider the role and for a reasonable period afterwards, in case something else suits. Ask us and we will delete yours sooner.
Why we are allowed to use it
Where the GDPR or a similar law applies, we rely on your consent, given by choosing to send the form; on our legitimate interest in answering enquiries and protecting the forms from abuse; and, for job applications, on taking steps at your request before a possible contract.
The Sentinel app
Brillersys LLC operates the Sentinel mobile application (“the App”), a workplace health-and-safety tool provided to organizations (“your organization” or “your employer”) and their authorized users. This section explains what information the App collects, how we use and share it, and the choices you have.
Our role
Most information in the App is entered on behalf of, and belongs to, the organization that provides your access. For that information, your organization is the controller and we act as a service provider (processor) acting on its instructions. For questions about how your employer uses your data, contact your organization’s administrator.
Information we collect
- Account and identity. Your name and work email, provided through your organization’s single sign-on (WorkOS). We do not receive or store your SSO password.
- Safety content you submit. Safety event reports and their details (description, event type, date and time, site, injury details such as affected body part and injured person’s name, and equipment or asset involved), inspection and form responses, corrective-action updates and comments, and any photos or files you attach.
- Technical data. A sign-in token stored securely on your device (iOS Keychain), app version, and basic device and diagnostic information needed to operate, secure, and troubleshoot the App.
Information we do not collect
We do not use third-party advertising, we do not track you across other apps or websites, and we do not sell your personal information. The App does not collect your precise location.
How we use information
- To provide the App’s features: safety-event reporting, inspections, corrective actions, and document access.
- To route safety reports to the appropriate people in your organization for review and follow-up.
- To secure accounts, prevent misuse, and diagnose problems.
- To meet legal and workplace-safety recordkeeping obligations.
How information is shared
- With your organization. Safety reports, inspections, and actions are visible to authorized users (supervisors, safety officers, and administrators) within your organization.
- Service providers. Identity and authentication (WorkOS) and hosting or infrastructure providers that process data on our behalf under contract and confidentiality obligations.
- Legal and safety. When required by law, or to protect the safety, rights, or property of users, your organization, or the public.
We do not sell personal information or share it for advertising.
Data storage and security
Data is transmitted over encrypted connections (HTTPS/TLS) and stored on secured servers operated for Brillersys LLC. On your device, your session token is held in the iOS Keychain. Access is limited to authorized users within your organization and to our personnel on a need-to-know basis. No method of transmission or storage is completely secure, but we use reasonable administrative, technical, and physical safeguards to protect your information.
Data retention
We retain information for as long as your organization maintains its account and as required for safety recordkeeping and legal obligations, after which we delete or anonymize it. Your organization may set its own retention rules.
Account and data deletion
To delete your account and associated personal data, contact your organization’s administrator or email privacy@brillersys.com. We will action the request consistent with applicable legal and safety-record requirements.
Your rights and choices
Depending on where you live, you may have the right to access, correct, delete or restrict the use of your personal data, or to object to certain processing.
For anything you sent us through this website, email privacy@brillersys.com and we will deal with it directly. For information held in the Sentinel app, your employer controls most of it: contact your organization’s administrator, or email us and we will work with your organization to respond.
Children’s privacy
Neither this website nor the App is directed to children. Sentinel is a workplace tool intended for adult employees. We do not knowingly collect personal information from anyone under 16.
International users
Your information may be processed and stored in the country where our service providers operate, which for this website is the United States. Where required, we take steps to ensure appropriate protection for such transfers.
Changes to this policy
We may update this policy from time to time. We will post the updated version at this address and revise the “Last updated” date above. Where appropriate, material changes to the Sentinel section will also be communicated through your organization.
